| Instructions for Preparing and Submitting Abstracts and Full Papers for Conference Proceedings
All accepted papers (submitted by the required deadlines) will appear in the Conference Proceedings (on CD-ROM), and will also be included in a series of hard-cover Conference books to be published by CRC Press / Taylor & Francis, Ltd.
All presenters, regardless of the mode of presentation (verbal or poster), are invited to prepare full papers for the Conference Proceedings.
FULL PAPER SUBMISSION
Full Papers are due by May 15, 2012, for inclusion in the Conference Proceedings CD-ROM.

Authors of all accepted papers must submit their final manuscripts electronically.
Full papers must not exceed 10 pages.
Please follow the Paper Preparation Instructions provided on this page EXACTLY.
Final Manuscripts are to be submitted in Word document format only (i.e. .doc or .docx). Notice that the publisher will not accept password protected or "read-only" word document files.
Please follow the steps below:
- Create your manuscript EXACTLY as specified in the sample paper provided. The title, author names, affiliations, etc. should strictly follow the format. Please don't use titles (Dr. Prof. etc. ) in front of names and also avoid using positions (Asst. Professor, Lecturer, etc.) The title should be in normal fonts (not upper case).
- Proofread and check layout of paper. Please complete your camera ready paper as shown in the sample, final manuscript should appear something like this: ** Sample paper , Paper template .
- Camera Ready Paper word document file name format: "primary author lastname_firstname_PaperID.doc" (e.g. Smith_John_486.doc). For instructions on how to find your Paper ID **click here.
The (seemingly) blank Word doc contains the styles you’ll need to format your article for inclusion in the published conference book chapters, with margins appropriate for the trim size of the publication. [Non-U.S. authors, please set your page size to 8.5x11 (Page Layout tab on your toolbar, Size ->Letter). This will ensure your text depth is not greater than 7.5 in. (190 mm).]
Copy your text from another Word doc or type text into the blank Word doc. (You may also overwrite the sample chapter if you prefer; if you choose this option, be sure to deleted the text identifiers in the left margin.) Once you have inserted all text into the template, open your Styles menu (Home tab in Word 2007; Format tab [Styles & Formatting] in Word 2003). This will give you a display of all available styles in this Word doc. You will need to select each element of text and apply the appropriate tag to format your document in accordance with the publication specifications: “If you choose this option, be sure to delete the text identifiers in the left margin.”

To tag, simply place your cursor with a paragraph or heading and click on the appropriate tag in the styles box.
Additional Notes
- Numbered heads are to be used. (Because you will not know chapter number upon submission, your first heading will simply be “1”.)
- Harvard references (unnumbered, alphabetized) are required. The sample chapter provides examples of how to format several types of sources.
- Please do not use footnotes.
- For listings, in Home tab select bullets or numbers icon.
- Tables should be formatted using MS Word’s table editor (on the Insert tab, select Tables).
- To insert graphics, use Insert tab then select Picture, or drag and drop.
- Because chapter numbers won’t be determined at time of submission, please use “Chapter XX”

In general, the duration of each presentation should last 15 min with 2 min for discussion. The session chairs may at their discretion increase the time allocation to each presenter.
Prepare and bring your presentation file saved in Microsoft PowerPoint (.ppt), (.pptx) file format.
Please note that No internet access will be available in the meeting rooms.
Check in at the Session Room preferably the day before your session to submit/upload your files and to preview your presentation. If checking in the day of your session, please arrive by at least 4 hours prior to the start of your session (this refers to the session start time, not the presentation start time).
Session chairs or support team will be available to assist with the upload of your files and provide the opportunity to preview and/or edit the presentation as necessary.
Bring a Backup: Be sure to bring a backup copy of your presentation with you to the meeting.

The poster board surface area is 4 feet high and 8 feet wide. |

The posters will be mounted on poster boards (one poster per board) with tacks which will be available on site. The poster boards are 4 feet (height) x 8 (feet) wide. Presenters can mount multiple single sheets of paper, larger posters, pictures, or any printed materials on the boards. Please note that equipment needed for demonstration is the responsibility of the author.
Construct the poster to include the title, the author(s), affiliation(s), and a description of the research, highlighting the major elements that are covered in the abstract. Make sure your lettering is neatly done and is large enough to be read from a distance.
Prepare for distribution, if available, copies of a printed version of your paper (about 25) with the details of the research and/or a sign-up sheet on which interested people can request the paper.
If you experience any difficulties submitting your final paper using the Microsoft Conference Management System, you can submit your full paper as an email attachment (Word Document format only, file size up to 3 Mb) to aeiadmin@insightbb.com In the subject area of your email, please indicate: Full Paper Submission AHFE2012 primary author lastname_firstname_PaperID (e.g. Email subject: Full Paper Submission AHFE2012 Smith_John_486.doc).
If you are sending a REVISED full paper then please indicate the following in the subject area of your email: Revised Full Paper Submission AHFE2012 primary author lastname_firstname_PaperID (e.g. Email subject: Revised Submission AHFE2012 Smith_John_486.doc). Please use Word Document (.doc) format and limit the file size to 3 Mb!
Note: Inclusion of extended poster abstract in the Conference Proceedings is conditional upon registration of at least one author per poster by May 15, 2012.

Important note about Registration: Individuals can appear as co-authors in several papers in AHFE International 2012 and the affiliated conferences, but can present only one paper. Full papers will be included in the Conference Proceedings (CD-ROM) if received by May 15, 2012.
Furthermore, inclusion of extended poster abstract in the Conference Proceedings (CD-ROM only) is conditional upon registration of at least one author per poster by 15 May 2012.
